Applicant Privacy Notice

Custom Domain ("we," "us," "our") respects your privacy. This notice explains what personal information we collect when you apply for a role with us, why we collect it, how long we keep it, who we share it with, and the rights you have. It applies to everyone who applies through our careers site, wherever you live.
Who is responsible for your data

What we collect
When you apply, we collect:
- Identity and contact details: your name, email address, and phone number.
- Location: the city, region, or country you tell us you are based in, and your timezone.
- Work authorization: whether you are authorized to work in the country of the role, and whether you will need visa sponsorship now or in the future.
- Application materials: your resume, and any links you share such as a portfolio, GitHub, or LinkedIn.
- Anything else you choose to include in your application or in communications with us.
- Voluntary equal opportunity information: if you choose to provide it, your race, ethnicity, sex, veteran status, or disability status. Providing this is entirely optional, it is kept separate from your application, and it plays no part in any hiring decision.
If we move forward with you, we may later collect additional information such as references or, for finalists, background or right to work verification. We will tell you before we do.
Why we collect it
- To review your application and assess your suitability for the role.
- To communicate with you about your application and about future roles that may fit you.
- To verify your eligibility to work and carry out any checks required by law.
- To keep records we are required or permitted to keep, and to comply with legal obligations.
- To improve our recruiting process in aggregate.
For applicants in the EU or UK, our legal basis is our legitimate interest in recruiting and evaluating candidates and running our hiring process, and, where relevant, taking steps at your request before entering a contract and complying with our legal obligations. Where we ask for your consent, for example to keep your details for future roles, our basis is your consent, which you can withdraw at any time.
Who we share it with
We do not sell your personal information and we do not share it for advertising. We share it only with our team members who are involved in hiring for the role, service providers who help us run recruiting and hosting and who may only use your information to provide services to us, and others when required by law or to protect our rights. Because we are a US company, your information is stored and processed in the United States. If you apply from outside the US, your information will be transferred to the US.
How long we keep it
We keep applicant information for up to 24 months from the date of your application, so we can consider you for future roles and meet our recordkeeping obligations. If you are hired, your application becomes part of your employment record. You can ask us to delete your information sooner. We may keep limited information longer where the law requires it or to establish, exercise, or defend legal claims.
Your rights
Depending on where you live, you may have the right to ask what personal information we hold about you and get a copy, ask us to correct it, ask us to delete it, withdraw consent you previously gave, and ask us not to sell or share your information. We do not sell or share it. To exercise any of these, email privacy@customdomain.ai. We will verify your identity and respond within the time the law requires. Exercising your rights will never disadvantage you as a candidate.
Applicants in California
The categories above describe the personal information and sensitive personal information, such as your work authorization, that we collect and the purposes for which we use it. We do not sell or share your personal information, and we do not use sensitive personal information to infer characteristics about you. You have the rights to know, correct, and delete, and you will not be discriminated against for exercising them.
Applicants in the EU and UK
You have the rights described above under the GDPR and UK GDPR. You may also lodge a complaint with your local data protection authority. Your information will be transferred to the United States, and we rely on appropriate safeguards for that transfer, which we will detail on request. To exercise your rights or ask about safeguards, contact privacy@customdomain.ai.

We may update this notice. The date at the top shows when it was last changed.
